Who we are

This website (vectralint.com) and the AI assistant "Iris" are operated by:

For the purposes of the General Data Protection Regulation (GDPR), Kapri Kamara is the data controller responsible for your personal data.

What this policy covers

This policy applies to anyone who visits vectralint.com or interacts with Iris, our AI assistant, whether through the website chat or WhatsApp.

What personal data we collect

• Contact details — your name, email address, and phone number
• Property preferences — budget, desired location, property type, and other criteria you share when looking for a listing
• Rental applicant information — if you apply for a specific property through Iris, we may collect income, employment, and reference information as part of pre-screening
• Viewing appointment details — the date, time, and property address for any viewing you schedule

We do not currently use cookies, analytics tools, or tracking pixels on vectralint.com. If this changes, we will update this policy before any tracking begins.

How we collect it

We collect this data directly from you, through your conversation with Iris — whether on the website or via WhatsApp. We do not buy or receive your data from third parties.

Why we use it

We use your data only for the purpose you gave it to us:

• To respond to your questions and provide the information you asked for
• To help you schedule and manage property viewings
• To process your rental application, if you choose to apply for a listing

The legal basis for this processing is that it's necessary to take steps at your request before entering into a contract, or to perform a contract with you (GDPR Article 6(1)(b)).

We do not use your data for marketing or send you promotional messages unless you separately and explicitly opt in to that.

Who we share it with

We use the following third-party services to operate Iris and our business. Some of these are based outside the EU/EEA (primarily the United States); where that's the case, transfers are safeguarded through mechanisms such as Standard Contractual Clauses, as required under GDPR.

• Voiceflow (conversational AI platform that powers Iris) — processes your conversation to generate responses
• Twilio (WhatsApp messaging infrastructure) — delivers and receives WhatsApp messages
• Meta / WhatsApp (messaging platform) — the underlying messaging service when you contact us via WhatsApp
• Google (Google Sheets) — used internally to log inquiry activity
• Zoho Mail (hosted in the EU) — used for email correspondence

We do not sell your personal data to anyone, under any circumstances.

How long we keep your data

• General inquiry data (contact details, property preferences): kept for up to 24 months from your last contact with us, then deleted unless you reach out again
• Rental applicant screening data: kept for up to 6 months after your application process concludes — whether or not it's successful — then deleted, except where we're legally required to retain it longer
• Viewing appointment data: kept for up to 6 months after the scheduled viewing date, for our internal records

Your rights

Under GDPR, you have the right to:

• Access the personal data we hold about you
• Correct inaccurate data
• Request deletion of your data
• Restrict or object to certain processing
• Receive your data in a portable format
• Withdraw consent at any time, where processing is based on consent
• Lodge a complaint with the Belgian Data Protection Authority (Autorité de protection des données / Gegevensbeschermingsautoriteit) — www.autoriteprotectiondonnees.be

Security

We take reasonable technical and organizational measures to protect your personal data against unauthorized access, loss, or misuse.

Children

Our services are not directed at children under 16. We do not knowingly collect personal data from minors.
